Vehicle handover form for private car sales (free template)

Selling privately means no dealer doing the paperwork — and one document most sellers skip entirely: the handover form.

Here's why it matters. Between the moment the buyer drives off and the moment the LTA transfer completes, the car is still legally yours. Every ERP gantry, every parking fine, every speed camera — yours. A one-page handover form signed by both parties is what fixes, in writing, the exact moment responsibility changed hands and the deadline for the buyer to complete the transfer.

Copy the template below, fill it in at handover, both sign, both keep a copy (a photo of the signed page is fine).

The template

Copy everything between the lines onto one page — or just print this page.

The three clauses that do the real work

The odometer reading. Fixes the car's condition at a moment in time. If a dispute surfaces later ("the gearbox was already failing"), the mileage stamp plus the as-is clause is your answer.

The as-is clause. A private sale in Singapore carries no warranty unless you create one. Saying so explicitly stops the 9pm "the aircon smells weird, I want $500 back" message from becoming a negotiation.

The transfer deadline + liability cutoff. The pair that protects you. Three working days is the standard expectation for the OneMotoring transfer; the liability line means that even if the buyer drags their feet, the paper trail shows fines after handover aren't yours. If the buyer goes quiet past the deadline, follow up immediately and contact LTA — until transfer completes, you remain the registered owner.

What this form is not

It's a handover record, not a full sale-and-purchase agreement. For most private sales the two are combined into one page exactly like the template above — that's fine. If your deal has non-standard terms (post-dated payments, seller keeps driving for a week, buyer taking over an existing loan), write those into the agreement and treat this page as the completion record.

And before you set the price that goes in section 4: know your number independently. Our free guide to your car's three values explains what the market actually pays, and your OneMotoring vehicle details show the paper value no offer should ever go below.

Frequently Asked Questions

Is a vehicle handover form legally required in Singapore?

No — the only mandatory step is the LTA ownership transfer on OneMotoring. But the handover form is what documents when responsibility for fines and liabilities passed to the buyer, and what evidences the as-is condition. Skipping it saves two minutes and creates weeks of exposure.

What should a vehicle handover form include?

Both parties' names, NRIC numbers and contacts; the vehicle registration number; the odometer reading at handover; price, deposit and payment method; the handover date and time; an as-is clause; a transfer deadline (3 working days is standard); and a liability cutoff pegged to the handover time. Both parties sign, both keep a copy.

Who keeps the handover form?

Both parties — sign two copies, or sign one and each keep a photo of it. It only works as protection if you can produce it.

What happens if the buyer doesn't transfer the car ownership?

Until the OneMotoring transfer completes, you're the registered owner and LTA holds you responsible. Chase the buyer the moment the agreed deadline passes, and contact LTA if they go quiet. The handover form's dated liability clause is your evidence that fines incurred after handover belong to the buyer.

Do I need a separate sales agreement and handover form?

For a standard private sale, no — one combined page covering price, payment, as-is condition, handover time and transfer deadline does both jobs. Split them only if your deal has unusual terms like staged payments or delayed handover.
